Copies (Library Manager)

important If you came to the Copies tab by clicking a link per the Follett Shelf™ Update Job Summary, you have the opportunity to add copies.

The Copies tab lists all the existing copies for the title in the district, sorted by site.

If you are a library or media center cataloger, your local copies are at the top. You can edit, duplicate, or delete any of them, or add new ones.

If you are a district cataloger, you can edit, duplicate, or delete any of copies in the district. You can also add new copies for any library in the district.

Duplicate a copy

If a title already has a copy, you can choose to duplicate it. This is a quick way to create a new copy record. The duplicate retains all of the original's information and is given a status of Available; you need only scan or type in a barcode number—or have Destiny® assign one—before clicking Save Copy.

Library catalogers can duplicate only local copies; district catalogers can duplicate any copy, and even re-assign it to another library.

For district catalogers, duplicating has another advantage over adding a copy. Duplicating a copy for the same library retains the original's copy categories. Because district catalogers cannot update copy categories, duplicating a copy is an easy way to ensure that the new copy has all of the same copy categories that the other had.

Delete a copy

If you choose to delete a copy, you'll have the option, Track as weeded, to add the copy to your Weeding Log. If you select Yes, Destiny adds title and copy information to the log. You can generate a Weeding Log in Library Reports.

Also, be aware of the actions that Destiny takes automatically:

  • Any fines are retained on the record of the patron(s) who incurred them.
  • Any holds for the copy are deleted. (If there are other copies, any title holds remain in effect.)
  • The total numbers in the Library Collection Statistics - Summary are not affected by a deletion. When drilling down to view the copies, however, this copy, and its individual statistics, will not appear on the list.

Before you choose to delete a copy that is the last copy attached to a title (MARC) record, make sure you have selected your preferred option in Site Configuration on the Admin tab. If you selected the option, When the last copy of a title is deleted, remove the title from the library's collection, the title's association with your library is severed. By default, this check box is selected. By removing titles with no copies, search results will include only titles with actual copies for your patrons.
